PROCUREMENT FROM CHINA

Build a clear multi-SKU purchasing brief.

Use a blank working template to organise the product details, then send it to the team through email or WhatsApp.

Business RFQ list

Keep each stock keeping unit (SKU), specification, quantity, unit and product reference together. Add supplier, sample or drawing references and any inspection or preparation requirements where relevant.

These are blank working templates. Starred columns identify the core details for review; write “pending” where a detail is unknown. Downloading or filling in the file does not place an order or provide a quote.

The list describes the goods. The written proposal identifies service work, freight and destination costs separately.

1. Give each variant its own row

Keep the product link or description beside the exact model, size or colour and requested quantity. Two colours need two rows, even when they use the same listing. A product link is a reference for human review.

Illustrative entries only: two colour choices on separate rows.

Scroll sideways to read every column on a narrow screen.

These invented entries show how to organise a list. They are not products offered for sale or a customer order.

2. Make the quantity and unit unambiguous

Use the Unit column to say whether the quantity means individual pieces, pairs or sets. If you want sets, describe what each set should contain. Keep pack size separate from the quantity you want to buy.

Enter “pending” beside information you have not decided. Explain the open question in your message so the team can identify what is needed before quoting or purchasing.

3. Match files to the right item

Use the optional SKU / item label column as a reference for screenshots or other files. Give attachments the same reference and explain what each one shows.

Use Sample / drawing reference to identify the file or approved sample version. Record specific Checks requested and Packing / labeling requirements in their own columns. Add a Target date as your requested date for review, with its purpose explained in your message.

4. Mark the current version and send it

Name the file with a list or project reference and a date. For a revision, identify the changed rows and explain what changed. Keep the previously approved version with the conversation.

Attach the completed file to an email to hi@1688buypro.com or send it in your WhatsApp conversation with the team. Include the destination and a short description of the help you need. If you prefer text, use the message builder. The website does not upload or submit the workbook.

5. Review the proposal before approving work

The team reviews the details and identifies open questions. The first stage separates goods payments and the agency fee. Applicable extra warehouse work and international freight are confirmed later for your selected shipping batch after arrival, packing and measurement. Keep the written scope and approval with the list. Read the fee and payment explanation.

Share only what the request needs

Keep passwords, payment credentials, identity documents and unrelated personal information out of the list. If confidential documents are needed later, first agree a suitable sharing method with the team. Read how enquiry information is handled.
